JOB SUMMARY

The Center for Clean Energy Engineering (C2E2) is hiring a Financial Assistant 1 or 2 position to support the C2E2 Director and staff on all financial and administrative tasks. The successful applicant will serve as a resource to faculty members, staff members, and students of C2E2.

C2E2 is an interdisciplinary research center at the College of Engineering focusing on building the next generation of energy technologies. We welcome visitors to our site to collaborate and explore opportunities to conduct research in all aspects of clean energy including discovering new materials and designing and building new energy devices and systems that enable more efficient energy conversion and storage.

DUTIES AND RESPONSIBILITIES

  • Provide financial, administrative, and program support for C2E2 as required. 
  • Monitor, track, and maintain accurate financial records.
  • Prepare reports as appropriate to meet University, state, and sponsor requirements. 
  • Prepare internal/external billing for accounts receivable. 
  • Record encumbrances and expenditures and process all necessary paperwork, following up to resolve problems as they arise.
  • Prepare payroll to meet the needs of C2E2 and University deadlines.
  • Coordinate and prepare visa applications and renewals.
  • Ensure effort requirements for projects and C2E2 faculty are met. 
  • Perform related work as required including but not limited to special projects as required in support of C2E2 operations, faculty, students, and staff.
  • Performs related tasks as requested or required

Additional Duties and Responsibilities for Financial Assistant 2

  • Assist in developing and managing C2E2’s operating budgets and track spending to the approved budget.
  • Manage grant accounts and provide reports on the financial state of the grants.
  • Assist with pre-and post-award activities by preparing documents as required to meet deadlines.
  • Calculate cost share, verifying and performing financial transactions, such as deposits, journal entries, cost transfers, and payroll adjustments.
  • Ensure effort requirements for projects and C2E2 faculty are met. 

MINIMUM QUALIFICATIONS

  • Associate’s degree in a related field and 2-3 years of related experience. An equivalent combination of education and/or experience may be substituted for the degree and years requirement. 
  • Familiarity with financial practices and procedures.
  • Proficient with Excel and Microsoft Applications.
  • Demonstrate effective and clear written and verbal communication.
  • Ability to work independently and in a team setting while regularly exercising sound judgment.
  • Excellent interpersonal skills with the ability to establish positive working relationships with coworkers.
  • Demonstrated organizational skills and attention to detail.

Additional Minimum Qualifications for Financial Assistant 2

  • Bachelor’s degree in a related field and 2-3 years of related experience. An equivalent combination of education and/or experience may be substituted for the degree and years requirement. 
  • Sound knowledge of financial practices and procedures.
  • Sound knowledge of budget preparation fiscal control methods and payroll systems.  
  • Experience working in a fast-paced, complex, multi-faceted office environment. 

PREFERRED QUALIFICATIONS

  • Familiarity with enterprise systems such as Kuali Financial System (KFS), WebFOCUS, HuskyBuy, PageUp, Concur, Core-CT, Fellowship Workflow System, or similar online enterprise financial systems.
  • Experience working in a higher education or a grant-funded organization or program.
  • Experience working with visa applications and renewals.
  • Payroll experience is a plus.

Additional Preferred Qualifications for Financial Assistant 2

  • Experience with the Kuali Financial System (KFS), WebFOCUS, HuskyBuy, PageUp, Concur, Core-CT, Fellowship Workflow System, or similar online enterprise financial systems.
  • Experience with the sponsored program proposal process.
  • Ability to expertly manage time and deadlines, and juggle multiple competing priorities.

This is a full-time, end-date, annually renewable position based on performance and available funding.
